Tomi Dayo-Isijola is the managing partner Sparxe Limited, a tech-consulting firm based in Lagos, Nigeria. He has over 17years working experience, with proven expertise and delivery in IT, Real Estate, Healthcare, Energy/Power-related service sectors in Nigeria. Course Overview: Master Microsoft Project for Effective Planning
Duration: 3 Days (Interactive, Instructor-Led)
Audience: Project Managers, Project Coordinators, Program Managers, and PMO team members looking to build, manage, and optimize realistic project schedules.
Prerequisites: Basic understanding of project management concepts (WBS, tasks, dependencies). No prior MS Project experience is required.
Day 1: Laying the Foundation & Building the Schedule
Day 1 focuses on setting up your project environment correctly and mastering the mechanics of task scheduling. Attendees will learn how to avoid common pitfalls like accidental manual scheduling.
Module 1: Getting Started & Project Initialization
The MS Project Interface: Navigating the Ribbon, Backstage view, Quick Access Toolbar, and Sheet/Gantt views.
Initial Project Settings: Defining project start dates, choosing scheduling directions (forward vs. backward), and setting project properties.
Mastering Calendars: Creating and customizing Project, Task, and Resource calendars to account for working hours, holidays, and regional shifts.
Module 2: Developing the Work Breakdown Structure (WBS)
Task Modes: Understanding the critical differences between Manually Scheduled vs. Auto Scheduled tasks (and why Auto is preferred).
Building the WBS: Entering tasks, creating hierarchies using summary tasks and subtasks (indenting/outdenting).
Milestones: Defining zero-duration milestones to flag key deliverables and phase gates.
Module 3: Scheduling Mechanics & Task Links
Task Dependencies: Mastering the 4 link types: Finish-to-Start (FS), Start-to-Start (SS), Finish-to-Finish (FF), and Start-to-Finish (SF).
Lag and Lead Time: Applying buffer or overlap to task relationships.
Task Constraints & Deadlines: Applying soft and hard constraints (e.g., MSO, MFO) and setting target deadlines without locking the schedule.
Day 2: Resource Management & Schedule Optimization
Day 2 shifts from when things happen to who makes them happen. Participants will learn how to model real-world capacity and fix resource overallocations.
Module 4: Resource Setup & Assignment
Resource Types: Defining Work (people/equipment), Material (consumables), and Cost (travel/fees) resources.
Resource Details: Setting standard rates, overtime rates, cost-per-use, and resource availability limits.
Assigning Resources: Using the “Assign Resources” tool and understanding the impact on task durations.
Module 5: The Mechanics of Scheduling (The Project Equation)
The Core Formula: Deep dive into how MS Project calculates scheduling:
$$\text{Duration} \times \text{Units} = \text{Work}$$Task Types: Understanding Fixed Units, Fixed Duration, and Fixed Work, and how choosing the wrong one alters your data when changes occur.
Effort-Driven Scheduling: Turning effort-driven settings on and off to control behavior when adding multiple resources to a task.
Module 6: Resolving Resource Overallocations
Identifying Red Flags: Locating overallocated resources via the Resource Sheet and Resource Graph views.
Manual Resolution: Adjusting assignments, modifying task dependencies, and splitting tasks.
Automated Resource Leveling: Using the leveling tool safely without letting the software ruin your structural logic.
Day 3: Baseline, Execution Tracking, and Reporting
The final day focuses on what happens after the plan is approved. Participants will learn how to capture a baseline, track progress, catch variances early, and report to stakeholders.
Module 7: Setting the Baseline & Tracking Progress
Establishing a Baseline: Saving a project snapshot (Baseline vs. Interim plans) to measure future variance.
Tracking Approaches:
Simple tracking (% Complete, % Work Complete).
Detailed tracking (Actual Start, Actual Finish, Remaining Duration).
Tracking individual time periods via the Tracking Gantt view.
Module 8: Variance Analysis & Critical Path Method (CPM)
The Critical Path: Using the Critical Path to identify tasks that directly impact the project’s finish date.
Understanding Slack/Float: Analyzing Total Slack vs. Free Slack to find flexibility in the schedule.
Variance Assessment: Comparing Baseline vs. Actual schedule data to catch cost and schedule overruns before they escalate.
Module 9: Reporting & Customizing Views
Built-in Dashboards: Generating and customizing professional visual reports (Burndown, Resource Overview, Cost Overviews).
Customizing Views: Modifying tables, creating custom filters, groups, and sorting rules.
Timeline View: Creating high-level, executive-ready summary timelines for stakeholder presentations.
